Privacy notice

This notice describes a small business website with one enquiry form and an embedded booking calendar, and no analytics or advertising trackers. If that changes, or if you are unsure whether it fits your circumstances, have it checked by a solicitor before relying on it.

01Who we are

Off The Wall Digital is a trading name of Wall Media Ltd, a company registered in England and Wales under company number 15045668, with its registered office at Longfrey Cottage, Dorking Road, Chilworth, Surrey, GU4 8RH.

For the purposes of UK data protection law, Wall Media Ltd is the data controller for the personal information described on this page. If you want to talk to us about any of it, use the message link at the bottom of this page.

02What this website collects

This website has no analytics and no advertising trackers. We do not build any profile of you from your visit, and nothing is stored on your device for our own purposes.

There are two places where information can pass from this site to a third party, and both only happen if you choose to use them. The enquiry form sends what you type to our customer records system so that Petro can reply. The booking calendar is embedded from our scheduling provider and loads only when you open it; like most booking tools it uses your browser's local storage to work, and it will show times in your own time zone, which it reads from your browser.

Like almost every website, the hosting provider that serves these pages keeps standard server logs, which can include your IP address, browser type and the pages requested. Those logs exist so the hosting can be kept secure and working. We do not use them to identify individual visitors.

Some pages link out to other websites, including our clients' sites. Once you follow a link you are on someone else's website and their privacy notice applies, not ours.

03What we collect when you get in touch

If you email us or book a call, we will hold whatever you choose to give us. In practice that is usually your name, your email address, your phone number, your business name and whatever you tell us about what you are trying to sort out.

If you go on to become a client, we will also hold the information needed to actually do the work and get paid: project details, access to systems you ask us to work on, invoicing and payment records.

04Why we hold it, and on what basis

  • To reply to you and quote for work. Our lawful basis is legitimate interests, specifically responding to someone who has approached us.
  • To carry out work you have engaged us for. Our lawful basis is performance of a contract.
  • To keep accounting and tax records. Our lawful basis is a legal obligation.
  • To keep our own systems secure. Our lawful basis is legitimate interests.

We do not send marketing emails to people who have not asked for them, and we never sell or rent your details to anybody.

05Who else sees it

We use a small number of third party providers to run the business, for example email, file storage, accounting software and the platforms we build client systems on. Those providers process information on our instructions and are bound to keep it secure.

The two that handle information from this website are our customer records and scheduling platform, which receives enquiry form submissions and booking details, and our website hosting provider, which serves these pages.

Where a provider stores information outside the UK, we rely on the safeguards permitted under UK data protection law, such as the International Data Transfer Agreement or an adequacy decision.

Beyond that, we only share personal information where we are legally required to.

06How long we keep it

Enquiries that do not turn into work are deleted within two years. Client records are kept for the duration of the engagement and then for six years after the end of the relevant financial year, which is what HMRC requires for accounting records. Anything we no longer have a reason to hold gets deleted.

07Your rights

Under UK data protection law you can ask us to give you a copy of the personal information we hold about you, correct it if it is wrong, delete it, restrict what we do with it, or send it to somebody else in a portable format. You can also object to us processing it on the basis of legitimate interests.

Ask us using the enquiry form and we will respond within one month. There is no charge.

If you are not happy with how we have handled things, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we get the chance to put it right.

If this notice changes, the updated version will appear on this page with a new date at the top.
